Within the 3D software itself, built-in basic Management Reports accessed using that button may be produced using date range filters or with custom filters added.
For instance to easily follow up on unpaid invoices using Management Reports, if a Premier edition user wanted a printed list containing the job name, address, client name, and total, the Job List report would be ideal. You may add a custom View there as well with a filter for Invoice Paid set to No as the default. You could even include an Inspection Date filter field there as well if you wanted to narrow down your lists between certain dates as well.
Premier edition users could just list jobs directly on the main screen based on certain blanket filters, without even needing to produce a special report. For example, you may use the Add a new View option on the opening screen to only list jobs not marked as paid. e.g. you might call your report "Not Paid" and use the Add Filter button to include the "Invoice Paid" field and set the value to "No". Clicking that view would then show all jobs where the Invoice is Paid field on the Invoice tab of those jobs was not ticked off. Making it super easy to see at a glance which jobs have pending unpaid invoices.
However if you need additional reports created from your 3D SQL 2012 Database, which may be handy to analyze information in a different format or to export information for use elsewhere, or for a special purpose not handled by the included reports, you might be able to use a Microsoft Program called Microsoft Report Builder 3.0.
You would need to design the reports yourself or you may be able to use predesigned example reports. For example ISN (Inspection Support Network) users sometimes ask how to get a list of all of their clients from 3D to send to ISN so they can be uploaded onto their ISN account, so there is a contact list report that can do that. This also might comes in handy if you need a list of contact information to send out thank you emails or letters or send out seasonal holiday greetings to clients or agents.
Another example report allows you to enter a custom date range to produce a report that shows you your sales per invoice item, as that might be useful to see where your income is coming from when you do more than one type of inspection or offer services set up as different invoice items in 3D.
You would need to download and install the Microsoft Report Builder 3 program for using or creating reports, e.g.
https://www.microsoft.com/en-us/download/details.aspx?id=56043
If it asked to Run or Save the file you can choose to Run it. If you choose to save it instead you should be able to find it in the downloads folder in windows unless you changed the save location. Where you could then double click it to start the installation.
During installation if asked for a default target server, you may click next to skip that step. If prompted to allow SQL Server 2012 to install software on your computer choose Yes to update any needed files and then Finish the installation for Microsoft Report Builder 3.0.
To download premade example report files, if you want to examine or use those, here is a zip available by left clicking the link below.
https://www.3dinspection.com/support/files/MSReportBuilderReports.zip
When prompted what you want to do with that zip file choose 'Save As' and save it where you want to keep the reports to access as needed. You could choose your Desktop or Documents folder as an example. After saving the zip, you will need to extract the reports from the zip file- navigate to where you saved the file and right click on it, choose Extract All and click Extract so it saves them to a folder in that location, where the folder will be called 'MSReportBuilderReports'.
If you left the checkbox selected to show the location you should then see that new folder open with the two reports inside.
If it did not open automatically you can find the folder where you saved the zip file and double click on the folder (not the zip file) to open it and view the reports.
Once that folder is opened you can double click either report file to open the report so you can generate or 'Run' the report.
Using the contact list report as an example, once you open the Contact List report in the Report Builder program there is a Run button on the top left you need to click to generate the report. It may take a minute or so if you have a large database of information it needs to access. Once the report is generated you can use the Export button on the top menu to export it to PDF, Excel or any of the other options as needed.
If it is for ISN you should choose to export the contact list to an excel file.
Sales by Invoice Item report use notes:
To use the sales by invoice item report you would double click the report file from the folder you created and choose Run.
Then at the top of the screen, before the report is generated, you need to enter the Start and End date for this report to tell it what date range you want a report for.
e.g. enter 01-01-15 for a start date and 01-31-15 for an end date if you want a sales report for the first month in 2015.
When done entering the start and end dates press Enter or click on the View report button to the far right of those date fields to generate the report.
Then you can export it using the Export button at the top to save it as PDF, Excel or any of the other file options available.
